Scheduler Guide

1. Go to the online scheduler. This will bring you to the log-in page.

2. To create a new account, click on "Click here to register."

You will need the following information to make an account: your name, email address, phone number, institution and PI, and your current project number. (Or Non-DFCI purchase order number. If you are using a PO number, click here.) Please talk to your financial coordinator about a project number for use at the facility. You are responsible for making sure this number is correct. A proper project number must have 7 digits, and have a 7400 fund code attached with a minimum of $1.00 in the budget!

Self-run users: when you first make your account, you will only have permission to book MoFlo time and assisted scan time. You must call or stop by the facility to gain independent scan scheduling for your account.

3. Log on using your email address and password.

When you have logged in, you will be taken to the "My Control Panel" page. This is your personal information page. You can log out at any time by clicking the "Log Out" link at the top of the page. Always be sure to log out when you are done so others don't abuse your account!

On the left, the Quick Links box gives you easy access to the Online Scheduler as well as your personal account information. You can change your default billing number, your password, and your contact information.

On the right, you will see "My Announcements," which will contain scheduling updates or announcements by facility staff. Under that is "My Reservations," which will contain a list of all your upcoming reservations. On the bottom is "My Permissions," which lists the machines you are authorized to schedule on.

4. Click on the "Go to the Online Scheduler" link in the yellow box to schedule some time.

5. At the top of the Online Scheduler page, choose whether you want an appointment for MoFlo Sorting, assisted FACScan analysis, or independent FACScan analysis.

You will be taken to the overview of all of this week's appointments for the schedule you have chosen. Blackout times are shown in red. Other people's appointments are shown in light blue. Your appointments are shown in darker blue.

6. Step forward and backward by clicking the "Prev Week" and "Next Week" links.

7. When you see an open time slot that you want, click on the machine name under the date you have chosen.

You may schedule from two to fourteen days in advance. For example, if today is a Wednesday, you may schedule for this Friday, all of next week, and through Wednesday of the week after next. To make an appointment for today or tomorrow (or to delete an appointment you already have), ask facility staff to help you.

Self-run users: you may schedule from zero to fourteen days in advance.


I want to use MoFlo3 on Monday, 4/11/2005:

8. A reservation window will pop up. Choose the start time and end time for your appointment.

Also, enter information about which fluorochromes you will use, what kind of experiment you are running, and whether to use your default billing number. If you will not use your default billing number, enter the number you want to use instead. That number will be used for this reservation only.

9. Look back at the weekly view. Your new appointment is in a dark blue rectangle.

10. To modify or delete this appointment, click directly on it.

11. Go back to "My Control Panel." Your appointment is now in the "My Reservations" box.

12. It is your responsibility to forward all pertinent information to your financial coordinator.

Every time you create or modify a reservation, you will be sent an email from dfci.flow.cytometry@gmail.com

This email will contain your reservation time, reservation number (which you can give to facility staff if you have any questions about your reservation), and the billing number you have chosen to use.

When your appointment is logged into our billing system, you will be sent another email.

This final email will contain the filename under which your data has been saved, as well as cost, billing number, and a billing identification number (which you can give to facility staff if you have any questions about how your appointment has been billed).
